Dynamics 365 CRM customers who want to perform their own user license compliance and optimization evaluation will need to use server tools, that each provide one part of the puzzle, and build custom routines that extract data and perform two separate processes: compliance and optimization, in order to properly analyze license compliance.
License Required by Security Role and Activity
Step 1 (top) is to build a master table of license requirements for security roles and activities by extracting the data using the Dynamics 365 APIs. Some security roles will have license assignments, but the lower-level activities generally do not, although Microsoft is planning to add them.
With this table, customers will need to fill in the missing license assignments by referencing the Dynamics 365 Licensing Guide, which is the authoritative document on licensing requirements and provides guidance on license requirements by security role and activity. This process is critical for both the License Compliance and License Optimization processes, and especially for organizations that have customized the service or use custom applications.
